How MaxM Directory Works

MaxM.Directory is a free, community-powered housing transparency platform built to give tenants, landlords, and the public a permanent, factual record of every rental property — including its history, conditions, ownership, and documentation.

Unlike traditional listing sites that only show what a landlord chooses to advertise today, MaxM builds a living timeline for each property that grows with every reported event, uploaded document, and verified interaction.

1. Property Profiles & History

Every property has its own profile page. Once created, the record is permanent and community-maintained. A property profile includes:

  • Address, type, and occupancy status
  • Ownership information (verified where available)
  • A full chronological timeline of all events since the record was created
  • Transparency Score — a calculated measure of landlord responsiveness and openness

2. Timeline of Events

The timeline is the core of every property record. It organizes events in chronological order, including:

  • Tenancy changes (move-in / move-out)
  • Issue reports and resolutions
  • Ownership claims and verifications
  • Rent history updates
  • Move-In and Move-Out condition inspections
  • Disclosure documents and tenant consent records

3. Issues, Conditions & Disclosure

Tenants and landlords can report housing conditions through structured issue records, including category, severity, status, dates, and documentation. These issues are visible on the property page and contribute to the property's Transparency Score.

Condition Disclosure System: Landlords can use MaxM to generate a legally-formatted disclosure document listing all known property conditions. Tenants can review and digitally consent online — creating a permanent, immutable record. Landlords who use disclosure earn bonus Transparency Score points for honesty and accountability.


4. Evidence: Media, Uploads & Transcripts

MaxM supports a full evidence pipeline for housing disputes:

  • Direct uploads: Photos, videos, audio recordings, and documents can be attached to any issue, tenancy, or inspection record.
  • URL imports: Import media from YouTube, Vimeo, TikTok, Facebook, and hundreds of other platforms using a simple URL.
  • Live recording: Record directly from your mobile device camera or microphone through the platform.
  • AI Transcription: Audio and video files are automatically transcribed using Whisper AI. You can review, edit, and annotate the transcript — all edits are tracked and color-coded so changes are visible.
  • Human Review Marketplace: For cases where AI accuracy matters, connect with professional transcriptionists through the platform for human-verified transcripts.
  • Chain of Custody: Every file is cryptographically hashed (SHA-256) at upload time to prove the file has not been altered.

5. Follow Properties & Alerts

Any registered user can follow a property and receive in-app notifications when activity occurs. You control exactly which events trigger alerts:

  • Minimal: Availability changes only
  • Standard: Issues, discussions, score changes, and availability
  • All Activity: Everything including ownership, inspection, and resolution events
  • Custom: Choose exactly which event types you want

Verified property owners get additional owner-only alerts for ownership claims, disputes, and inspection reviews.


6. Move-In / Move-Out Condition Inspections

Tenants and landlords can document the condition of a property at the start and end of a tenancy using the structured inspection system. Inspections include:

  • Room-by-room condition checklists using the property's existing floor plan and issue data
  • Photo and video proof attached to each item
  • Comparison between Move-In and Move-Out conditions to support security deposit decisions
  • Admin review and approval workflow to create an official record

7. Transparency Scoring

Each property has a Transparency Score (0–100) that reflects the property owner's openness and responsiveness. Scores are calculated from:

  • Issue resolution rate and speed
  • Owner-provided documentation and disclosures
  • Verified ownership and contact responsiveness
  • Condition disclosure with tenant consent (+bonus points)
  • Inspection participation

8. Legal Resources & LMS

MaxM Directory includes a built-in Legal Learning Center (powered by OSCampus) with courses on:

  • Tenant rights and responsibilities
  • Landlord obligations under Maine law
  • The eviction court process
  • Security deposit rules and disputes
  • How to document and present evidence in court

Courses are free or low-cost. Tenants living in subsidized housing (Section 8, HUD, LIHEAP, SSI/SSDI, state rental assistance) can apply for full or sliding-scale fee waivers after verifying their subsidy status.


9. Registration & Platform Recording Consent

MaxM is free to join. By registering, all users agree that video and audio calls conducted through the platform may be recorded for evidence purposes. This is disclosed at registration with a dedicated consent checkbox separate from the Terms of Service — providing legal protection for all parties regardless of state recording laws.

The platform tracks ToS version history. If the Terms of Service are updated, you will be prompted to re-acknowledge on your next login before continuing.

11. Free to Use. Always.

The core platform — property search, issue tracking, tenancy history, evidence uploads, community discussion, and legal resources — is free for all users. Optional Pro features are available for landlords and real estate agents who want advanced analytics, bulk tools, and API access.

MaxM is designed to outlast any single person. It is structured for long-term operation as a housing accountability resource for the communities it serves.
